DeskPulse vs Hubstaff (2026) — full comparison and real cost by team size
A direct, honest comparison of DeskPulse and Hubstaff — features, pricing at 5 to 100 seats, privacy approach, and where Hubstaff is genuinely the better choice.
Last updated
Short answer: Hubstaff is the more mature product with a bigger integration catalogue, GPS tracking and built-in contractor payments. DeskPulse is cheaper at every team size, includes payroll and client billing that Hubstaff charges more for or doesn't do, and caps your monthly bill at $450 no matter how many people you hire. If you're an outsourcing team above 20 seats and you're not paying contractors through Hubstaff, DeskPulse will cost you less and cover more of your workflow. If you need GPS, mobile tracking or Hubstaff's payment rails, stay where you are.
We make DeskPulse. Everything below about Hubstaff is from their public pricing and documentation, checked 2026-08-08, and we've been explicit about what they do better.

Hubstaff list price for the Team tier, checked 2026-08-08. DeskPulse is $7/seat until the total reaches $450, then it stops.
The tier trap worth understanding: Hubstaff's advertised entry price is $4.99/seat, but that Starter tier has no screenshots, no timesheet approvals and limited activity tracking. The tier most teams actually need is Team at $10/seat. The Insights analytics module is a further $2.50/seat on top of that. DeskPulse has one paid team tier with everything switched on.

Where Hubstaff genuinely wins
We'd rather you knew this now than after switching.
Contractor payments. Hubstaff pays your team directly from tracked hours via Wise, PayPal or Payoneer. If that's how you pay 40 people every fortnight, it's a real workflow and we don't replace it. You'd keep a separate payment rail.
GPS and mobile. If you have field staff, drivers or anyone working off a desktop, Hubstaff tracks them and we don't. This isn't a gap we're planning to close — we're built for desk-based outsourcing work.
Integrations. Asana, Jira, Trello, QuickBooks, Gusto and 25 more, natively. Our integration story is thin. If your project-management tool must sync automatically, factor in that cost.
Maturity. Hubstaff has been shipping for over a decade with a large support organisation and a deep documentation library. We're newer. On a Friday night incident, that difference is real.
Where DeskPulse wins
Your bill stops. The single biggest structural difference. Above 65 seats, hiring costs you nothing more in monitoring. For a BPO planning to grow from 40 to 90 seats, that is the difference between one line item and one that doubles.
The workflow runs further. Hubstaff hands you tracked time and a CSV. DeskPulse takes the same tracked time through payroll — overtime approvals, adjustments, payslips — and out the other side into client invoices, with per-client contract rates and per-employee bill rates held separately. That is a spreadsheet and a reconciliation job you stop doing.
Effectiveness scoring is included. Activity percentage against task completion, ranked, built for performance reviews. On Hubstaff the comparable analytics live in the Insights add-on at $2.50/seat — $162/month at 65 seats, on top of the subscription.
Built for the BPO shape. Per-client contracts and per-employee bill rates as separate concepts, seven capability-based roles including a client/external viewer, and an audit log as standard. These exist because outsourcing operations need them, not as enterprise upsells.
Consent-first as a design position. Tracking runs only when the worker presses Start. A persistent monitoring indicator is always visible. Screenshots are blurrable and never appear on public client share links. Both products support disclosure; we have made it structural rather than configurable, which is an easier conversation to have with a workforce that is wary.
Which should you choose?
Choose Hubstaff if: you pay contractors through the platform; you need GPS or mobile tracking; a specific integration is load-bearing; you're under 10 seats and not growing; you want the largest support organisation.
Choose DeskPulse if: you're a BPO, outsourcing firm or agency; you're above 20 seats or heading there; you're reconciling payroll or client invoices in a spreadsheet today; your bill going up every time you hire is a problem; you want monitoring your team won't fight you on.
Switching from Hubstaff
- Export timesheets and reports as CSV before cancelling — screenshot history does not migrate between vendors.
- Run both in parallel for one pay period. Idle thresholds differ between products; understand the variance before it reaches a client invoice.
- Tell your team first, and lead with what changes for them.
- Rebuild client-facing reports before cutover.
- Cancel Hubstaff after one clean reconciled cycle.
Two weeks, mostly human rather than technical.
FAQ
Is DeskPulse cheaper than Hubstaff?
Yes, at every seat count. $7/seat against Hubstaff's $10 Team tier, and DeskPulse caps at $450/month. At 65 seats that is $450 against $650; at 100 seats $450 against $1,000.
Does DeskPulse have GPS tracking?
No. DeskPulse is built for desk-based work. For field or mobile workforces, Hubstaff is the better fit.
Can DeskPulse pay my contractors?
Not directly. DeskPulse computes payroll and generates payslips from tracked time, but you pay through your existing rail. Hubstaff pays contractors natively.
Does DeskPulse work on Mac and Linux?
Yes — a native Windows installer, a macOS app, and a cross-platform portable package that runs on Linux.
What happens above 100 seats?
The $450 cap covers up to 100 seats; above that there is a custom Enterprise plan. Your per-seat cost still falls well below per-seat competitors.
Will my team accept being monitored?
That depends more on how you introduce it than on the tool. DeskPulse helps: tracking only runs when the worker starts it, the indicator is always visible, and screenshots can be blurred and never appear on client-facing links.
